Assistant Project Manager/Office Manager/Bookkeeper

Job Overview
Run the day to day office operations and assist with project management. The AM/APM takes on large scope of rolls that are required for business administrative operations and core business functions. The AM/APM is required to be very detail oriented and have an exceptional understanding of Viewpoint Spectrum.
Responsibilities and Duties:
Human Resource -
- Maintain and process company payroll, PTO, and associated tax payments.
- Track employee documentation, training, and records.
APM/Billing/Bookkeeping
- APM’s Input vendor invoices with accuracy and the correct job/phase coding. Work closely with the project management team to ensure proper phase coding is achieved.
- APM’s - Track and account for vendor compliance items. These items include insurance certs, lien waivers, licenses, supplier verifications, etc.
- Produce, track, and manage the contract process for both owner agreements and subcontractor agreements. Requires a sense of urgency to ensure contracts get executed promptly. Know the contracts and understand the ramifications and requirements.
- Facilitate the change order process for both revenue and cost associated changes. Track and manage change orders for prompt input and execution.
- Produce change order estimates as needed. This involves knowing what is involved with a change order and communicating this to the subcontractor that will be pricing the change.
- Initiate job setup in Viewpoint Spectrum. Input the initial project setup from estimates and project specific information.
- Control accounts receivable. Generate owner payment applications.
- Input and update month end account reconciliations.
- Corporate compliance and licensing.
- Navigate, understand, and input data into Viewpoint Spectrum with accuracy.
- Maintain General Ledger and monthly reports.

Job Type: Part-time
Pay: $25.00 - $35.00 per hour
Expected hours: 20 – 35 per week
