Our board-certified ophthalmologists and optometrists are highly skilled and experienced in the diagnosis, treatment and prevention of eye disorders, and place clear, healthy vision as their top priority.
Role
Under the general supervision of the Front Desk Supervisor, the Receptionist/Check In is responsible for welcoming patients to the practice, treating all patients in a professional and courteous manner, checking-in patients, reviewing patient charts to verify necessary information and signatures, and entering new patient information into computer. Position creates the first impression of the practice, thus “Director of First Impressions”. Phone calls are answered in a friendly voice and register new patients. Position may check out patients and make follow up appointments as needed, documenting correct information for recall notices. Complete assigned "To Dos" and Incoming Referrals. Insurance verification, authorizations and co-pay collection are responsibilities, as needed. Balancing out at end of day.
Major Responsibilities and Duties
PATIENT CHECK IN:
- Check patients in, give forms to new patients, update histories on established patients. Check out patients and make follow up appointments, referrals
- Perform insurance verification and eligibility. Enter charge or encounter data - review data for completeness
- Scan patient’s insurance cards. Correctly enters all new patient demographic information into EMR. Collect co-pays, outstanding balances.
- Mark arrival time of patients in office and make sure that patients are seen on time. Place charts in bin for specific physician or technician.
- Confirm appointments via phone calls. Follow up with a phone call to no show appointments and attempt to re-schedule.
- Answer telephones and make appointments via computer scheduling
- Scan outside medical records, new patient forms, outside eyeglasses and contact lens prescriptions
- Other tasks as needed
ADMINISTRATIVE:
- Places telephone calls to new patients to confirm upcoming appointments; verifies information is correct at the time of the appointment
- Places telephone calls to no-show appointments; reschedules as needed.
- Inspects reception room for neatness
- Assists other office personnel as needed

Qualifications
Experience: Must have experience working with the public and enjoy lots of interaction with people.
Education: Minimum high school diploma. College degree or Continuing Education courses desirable.
Salary and Benefit Provisions
The Eye Care Center of Napa Valley is an energetic, face-pace, positive place to work with a very professional work environment designed for self-managed individuals capable of producing great work with little supervision. Business hours are 8:00 am to 5:00 pm Monday - Friday.
This is a 1 FTE position which provides a non-exempt, hourly wage based upon experience and qualifications.
Annual Performance review, eligible for merit increases based on achievement of membership and performance objectives.
